Back Office Manager - Senior

In the context of the anti-COVID actions, our client is currently looking for the
Back Office Manager for the daily coordinator of the Vacci team, responsible for the identification and follow-up of the ongoing business and urgencies, as well as reporting to all levels, measuring outcome and impact of all efforts.

This skilled professional will need to focus on the main challenge which remains remains twofold: making sure that a) the vaccination degree in the Brussels area continues to increase (jointly with the communication team, but self by making more in-dept analysis and keeping track of all data and insights) and b) making sure that the right vaccines are being administered at the right time at the right place by the right team. By setting priorities, making it happen, and following up through reporting. All entrepreneurs are in the team to make it happen; the main job of the 'vacci operations manager' is to structure and follow-up on all actions that have been defined, and make sure they happen in time and with the quality requested.

Responsibilities

Primary Tasks and responsibilities

  • Translating the team objectives in the short and medium operational objectives and priorities.
  • Help prioritise, communicate and implement the changes/projects necessary within the team (support the vacci lead to make it happen by 'hands-on follow-up').
  • where requested, structure the analysis, observations and experience in the field, into notes to the cabinet and / or recommendations to the management.
  • Support the fellow team members to enable them to achieve the set targets (organise brainstorms, define actions, keep minutes and action lists, follow up on execution).
  • Foster team spirit and encourage the production of positive ideas to improve the way of working.
  • Ensure that the services delivered comply with the requirements defined in the administration standards
  • Define and follow up the objectives, scope and milestones of the projects
  • Apply the knowledge, tools and processes that are used for project management
  • Actively cooperate and participate individually and in a team in the acquisition and development of the knowledge, tools and processes in those domains.
  • Ensure stakeholder management, partnership, cohesion and synergy with all the parties involved (client, project team, sponsors, suppliers, unions, users, management, other departments, ...) in relation to the objective of the projects.

Secondary Tasks and responsibilities

  • Project Planning/Management in a hands-on way (make things happen by showing the example, continuous follow-up and support. Go into the details and operations, no 'spreadsheet management' only)
  • Reporting: analysis of data, proposal and development of dashboards, presentation to the management. For the vaccination right hand, thorough experience with data and KPIs is a must
  • Stakeholder Management
  • Constant evolvement conducted in lessons learned after each milestone achieved
  • Put in practice the improvement actions and good practices of software development

Skills

Technical profile requirements

  • Master Degree
  • 6-10 yrs experience as Operations Manager, Office Management or Business Project Manager
  • Very good ICT and analytical skills, digital savviness
  • Quick solution oriented, agile approach - entrepreneurial, getting things done (result driven, not methodology driven)
  • Likes to go in detail, searches, does not give up before finding links
  • Can keep the big picture
  • Able to explain well to teams what to investigate and follows up on the results
  • Good report writing, summarizing steps taken and results

Non-Technical profile requirements

  • Accepts personal responsibility for client satisfaction
  • Ability to identify and implement process and/or application improvements
  • Strong analytical and problem-solving skills
  • Must be able to work on multiple simultaneous tasks with limited supervision
  • Quick learner, motivated self-starter

Methodology/Certification requirements

  • Master Degree OR equivalent through experience.
  • ITIL is a nice to have
  • Project/Programme Planning/Management
  • Operational hands-on experience

Language proficiencies

  • FR and NL is a must
  • ENG
